To be better – better leaders, better managers, better professionals, better citizens, better business owners, better politicians, better parents, better spouses, better brothers, better sisters, better neighbours, better spiritual man-better in whatever role in life we play

With immense pleasure and profound gratitude we would like to submit Vision 2010 for your perusal. This agenda sets out to protect and promote the interests of all members as well as those who are planning to join our association. We strive to establish and maintain unity amongst members as well as uphold pubic trust and confidence. We are accountable for our work and will assist local chapters (associations) to maintain and improve their general wellbeing.

National level coordination

To achieve our aims we need to coordinate our work in a systematic way. First of all, we need to conduct all local associations’ elections at the same time. The Election process will start on the second Saturday of October and will be completed by the first Saturday of November. Responsible persons for the election will be Chapter IPP (Immediate Past Presidents), Past Zone President (PZP) and Past National President (PNP). The term of office bearers will last one year.

The majority of our associations have various office bearers like President, Vice President, Secretary, Joint Secretary and Treasurer. However in addition, we will need two additional members to represent UUKMA. The best practice would be to identify the most 2 eligible members (MP’s) in each association (preferably a past president or past executive member).

UUKMA would expect experienced and exemplary people with impeccable credentials, who would uplift the profile of the association they represented.

Zone Governing Board

There are 12 zones (Scotland, North East, Northern Ireland, North West, West Midlands, Wales, South West, Yorkshire & Humber, East Midlands, East Anglia, London and South East). These 12 zones would all have representation on the Zone Governing Board (ZGB). Representation would be calculated as follows: If a zone has 5 chapters it could have MP’s 10 in the ZGB. In addition, the president of each chapter would also be on the ZGB. Therefore the total number on the ZGB would be 15. The ZGB will work in association with the National Governing Board (NGB) and local chapters. Elections will be on the second Saturday of November. From the ZGB one president and one secretary would be elected to coordinate zone activities. They will be called zone president and zone secretary.

National Governing Board(NGB)

If there are 50 local associations then there will be 100MP’s who will elect the National Governing Board. Elections will be held on the last Saturday of November. The NGB will consist of the following:

  1. President
  2. Secretary
  3. Treasurer
  4. GLC (General Legal Counsel)
  5. Web Master
  6. PRO (Public Relation Officer)
  7. Charity Co-coordinator
  8. Officer(G&D) Growth and Development
  9. Officer (C&A) Conference and Awards
  10. Youth Coordinator
  11. Arts and Sports Coordinator
  12. Officer (training)

National Conference and Installation of the new National Governing Board

This year will climax with Natcon2010. This will be a glamorous- and prestigious event. The event will comprise guests’ dignitary speakers, National level awards, fabulous dinner and cultural programme. This will be a memorable and stimulating day for all members’ and one not to be missed.

How to become a member of UUKMA ? No religious association or associations related to the names of places in Kerala will be allowed. Eligible association should contact via ZGB or directly to the National Secretary. Membership fees will be £50- please submit membership list with FBA status (refer to Crisis Fund for more information). Chapter office bearers will inform members with FBA status that if any death occurs in the UK (within our organization they are obliged to pay £5 to the National Treasurer within 24 hours. The Secretary will transfer these personal details to the Web Master who will enter these details on to the web. The webmaster should then contact the secretary who will issue official confirmation. After all these process the Secretary will issue a registration certificate and unique chapter number. For example if the North East the registration will start with NE. The first chapter in the North East to register would be NE1 and subsequent chapters would be NE2, NE3 etc. If the chapter started in the year of 2005 it would show NE 105. If it is 40 members then it would be NE10540. It is a model that once explained would give instant recognition. Each member will then be able to access any other member’s portal. The Crisis Fund will be eligible only to those whose names appear on the website with FBA status. All office bearers will be on the membership list. A member’s spouse and children’s names also should be on the website list. New born babies’ names should be entered on the register immediately after birth. These rules are intended to avoid unnecessary complications in the future.

The local chapters should maintain the following documents

  3. Inventory register
  4. Inward letter register/file
  5. Outward letter register/file
  6. Confidential file(CRB details, emergency address(overseas)
  7. Training file
  8. Child protection policy
  9. Public liabilities insurance
  10. Funding documentation
  11. UUKMA file
  12. Financial File
  13. Bank Documents File

If a member wants to discontinue chapter membership the chapter should immediately inform the National Governing Board (NGB). Chapter should collect a signed letter of resignation from the member. NGB will notify the Web Master to remove his name from the electronic register.

Duties and rights of National Governing Board

All NGB members should have spent a few years working for their chapters at various levels. They should have a commitment to the wellbeing of vulnerable and marginalized sections of society

All the NGB members must follow the code of conduct

  • Should reveal their profession and report any other business interests. Transparency will contribute to the smooth functioning of the NGB
  • Equality and diversity: UUKMA committed to promoting a just society that gives everyone an equal chance to learn, work and live free from discrimination and prejudice. To ensure our commitment is put into practice we are developing policies , which will seek to remove any barriers to equality of opportunity and to eliminate unfair and unlawful discrimination
  • All NGB are required to undertake that they will not divulge to anyone personal and or confidential information to which they may have access during the course of their work.
  • All NGB members have the commitment to work under pressure
  • All NGB have openness to new ideas and ways of working
  • All NGB have the ability to work as a member of a team
  • Should evaluate personally should I am eligible for WOODEN SPOON AWARD 2010
  • Never ever allow members to directly or indirectly promote their business interest through their position in the NGB
  • No member will be encouraged to promote personal business interest through the NGB.
  • Anyone tarnishing the reputation of the NGB, either through their business interest or other actions will be banned about future conduct. Serious circumstances could be resulted in expulsion from the NGB.
  • If any adverse media coverage appears against a member of the NGB, The respected member should contact the NGB who will take appropriate action after considering the situation.
  • If any financial misappropriation has been noticed, accused members will face immediate suspension and court procedure
  • Any member misusing of confidential or personal information will face disciplinary action
  • All members will be impartial when dealing with media
  • The PRO/President will be responsible for all media contact. The NGB may allow any other NGB member to speak to the press but consent must be required.
  • All contracts, involving financial and other services, needs to be fully discussed in NGB meetings. All relevant information regarding contracts should be closely scrutinized. No NGB member are allowed to receive any personal or monetary benefits related to NGB contracts either commission, bribes, special services and advantages either directly to the member or his family and or friends.
  • Forthcoming NGB’s/local chapters have the right to investigate the actions of any previous office bears if it is required to uphold the integrity of UUKMA.
  • NGB members should work hard and keep their records of their working
  • They should update other NGB members of their working progress either through email or other communication.
  • If they cannot work within the guideline of the NGB they should resign and give others a chance to do the job
  • Should try to attend all meeting and training programmes
  • Should not use alcohol while attending UUKMA activities
  • Must not use any recording devices in NGB meetings
  • Attend meetings on time.
  • Switch off mobiles at meetings

President

  1. Should have capacity to inspire the members to motivate themselves
  2. Follow a holistic approac
  3. Should have vision to see the invisible and achieve the impossible
  4. Should be a team player
  5. Should constantly review and monitor the working of NGB
  6. Should have competence to supervise and appraise the performance of NGB
  7. Accountable for all of UUKMAS activities
  8. A good understanding of constitution/vision/code of practice
  9. Should be competent enough to provide supervise other NGB members
  10. And demonstrate the following qualities:

  • Conviction

  • Courage
  • integrity
Secretary

Will be selected by the president and act as his/her confidant. The secretary will need the following qualities

  1. Expert in all secretarial work
  2. Proactive
  3. Expert in communication
  4. Good at report writing,
  5. Awareness of agendas and minutes

Treasurer

  1. Should experience in Finance
  2. Trustworthy
  3. Should have financial plan
  4. Explore all avenues for funding
  5. Explore other business avenues to boost the economy the of UUKMA
  6. Responsible for crisis fund

Webmaster

  1. Should have technological knowledge
  2. Accountable for confidential details/good working knowledge of Data Protection Act
  3. Good knowledge of current technology

Public Relations Officer

  1. Press releases after discussing with NGB. In emergencies may discuss with president
  2. Improve the profile of our association
  3. Responsible for public image of organisation

Arts and Sports Co-Ordinator

  1. Assist local chapters/Zone /National level with arts and sports events
  2. Promote exercise in our members
  3. Promote and discover skills and talents of our members

CHARITY CO-ORDINATOR

  1. No person was ever honoured for what he received. Honour has been the reward for what he gave.
  2. Should have an in-depth value base to co-ordinate charity work
  3. Promote charity at local/regional and national level
  4. Improve UUKMA profile through charity
  5. Should educate all our members to develop a philanthropic dimension to their life. Encourage to do members whatever they can. Everyone can give something. There is so much to be done, down the street and around the world. It’s never too late or too early to start.
  6. Everyone in UUKMA can be great because everyone can serve.
  7. We should never forget that we are very fortunate and have immense wealth. About half the world’s people still live on less than 2 a day.
  8. Gifts of time , skills, things and ideas are as important and effective as contributions of money.

Officer Growth and Development ( Officer G & D)

  1. Initially it will be difficult to attract all the associations in UK. The officer should have a strategy to attract them in to our association.
  2. He should contact them via phone, email or even in personal
  3. Send out publicity to motivate those who are reluctant to join with us. If existing executive members object, then contact other members and motivate them to lobby their executive members
  4. Officer must be persistent
  5. It will be a painful process but should be rewarding

Officer Conference and Awards (Officer C & A)

UUKMA should recognize all efforts at all levels

  1. Identify the dates for National, zone conference etc.
  2. Identify the venue for our programme
  3. Systematically arrange national conference
  4. Determine what kind of awards we are planning to give our members and no members.

Youth Cordinator

  5. Train them to abstain them from alcohol, smoking and drugs etc
  6. To build a foundation for humanitarian approach to fellow members of our society
  7. Train them and gradually involve them with our day to day work

Officer (Training and Quality) (Officer C & Q)

  1. He must arrange a Presidential Academy for all our presidents
  2. He must organize a national officers training seminar (NOTS) for our national executive members
  3. Officer should make sure everyone receives training especially all levels of officer bearer and youth
  4. Help the Treasure to draft the project to identify funding for the training.
  5. In addition to government funding explore sponsership
  6. If everything fails lobby the members to contribute the cost because training is vital for maintaining the quality of our association.

General Legal Counsel (GLC)

  1. Competent enough to draft constitution/code of practice/vision
  2. Competent enough to review legal documents based on circumstances
  3. A legal/Social Work profession would be added value
  4. Should have highest values base
  5. Competent enough to advise NGB/ZGB and local chapters to resolve constitutional crisis
  6. Competent enough to audit the quality of the local associations and give proper guidance on improving standards
  7. To draft performance indicators at different levels
  8. To assist webmaster to abide by the rules and regulations of U.K
  9. To assist Officer Conference and Awards in drafting a unique document indicating how to bid the awards in a systematic way. This will make sure that awards will be given only to those eligible to receive them.
  10. Protect UUKMA from all litigations from members and non-members.
  11. Should know power of veto
  12. Should arrange auditing for the association
  13. Know the clauses of binding

Crisis Fund

  1. Only applicable when death occurs
  2. It covers spouse and children
  3. The person's name should be on the address list on the website
  4. Clarification
  5. If death happens in another country ?
  6. Eligible
  7. Should record specially in membership?
  8. Those who join FBI (Friends of the birds of the air) contribution
  9. Who will make the necessary arrangements?
  10. NGB will supervise with the guidance of treasurer and the assistance of local chapters
  11. Time for funding
  12. Local chapters should collect money from members who have FBI status and put into UUKA's national account within 24 hours
  13. If the following circumstances occur NGB/local chapters/police/family/council will jointly take appropriate decision
  • Spouse is the perpetrator
  • If body sent to India this could create threat to spouse and other families in India
  • Children's lost trust in parents

Conclusion

This is not the complete vision, this is the minimum programme for the year 2010 and the NGB will concentrate on achieving the objectives visualized in our mission. The vision should be regularly reviewed and amended as necessary after discussion with General Body.

The first and foremost priority for 2010 NGB will be to try to bring all associations in one frame work. We will try our level best to achieve what we have mentioned on the vision.
